Instructions for Authors

Please read carefully the following information before submitting a scientific abstract for the DOG Congress 2018.

Contributions to the scientific program can be submitted as free papers, posters or videos. (For more information on videos, please see page 16.) To propose a free paper or poster, please submit a brief summary (i.e. an abstract).

Abstracts shall have a structured layout (scientific objective, method, results and conclusions). The issue must be clearly formulated and an appropriate methodology shall be chosen. The conclusions must relate to the results as presented in the article. Remarks such as “the results will be discussed“ frequently lead to the rejection of a proposed contribution. Abstracts may contain a maximum of 2,500 characters and may be submitted either in German or English. The text of the abstract shall be ready for publication without additional editing.

Abstracts must be completely made anonymous, i.e. their text must not contain any information from which the abstract’s source or author can be deduced. Proper names, institutions, company names and locations should accordingly be removed from the text of the abstract.

The abstract contents must not have been presented at another scientific congress or previously been published in a scientific journal.

Along with the submission of an abstract, its author confirms that all its co-authors have agreed to its submission, that clinical tests have been performed with the approval of the responsible ethics committee and that official permission was granted for any experiments conducted on animals.

Submission of abstracts is possible only online at dog-kongress.de. Abstracts submitted via e-mail, fax or conventional mail will not be considered. The submittal/acceptance of an abstract does not exempt its submitter from the necessity of registering for the congress and paying the associated participation fees.
The deadline for submission of abstracts is 12 noon (CET),
Sunday, 31.3.2019.

Unless an abstract has already been submitted in its final form, changes in the abstract may be made at any time prior to the deadline. If no additional information is provided, we assume that the first author of an abstract will deliver the talk. In that case, all correspondence will be sent to the first author and he/she will be responsible for forwarding it to the co-authors. Evaluation

On the basis of the submitted anonymous abstracts, a scientific panel will select the abstracts in a blinded review. The contents and the scientific quality of the articles are the sole criteria on which the selection is based. The scientific panel may choose to suggest changes to the form of presentation originally proposed by the submitter (poster to oral contribution, oral contribution to poster). The scientific panel, the
program committee and the Board of the DOG will decide on whether a contribution is accepted as a poster or as a lecture. The decision on the acceptance or rejection of your submission, as well as the decision on the presentational format, will be communicated to the authors via e-mail early in June 2018.
When submitting your abstract, please bear in mind to submit a valid e-mail address.

Disclosure of Potential Conflicts of Interest

The DOG expects the authors of scientific articles to disclose potential conflicts of interest. The information required for this disclosure will be requested when submitting the abstracts. Furthermore, lecturers and authors of posters are required to include a corresponding transparency disclosure in their oral presentations and/or a corresponding disclosure notification on the poster.

Copyright
By submitting the abstract, the copyright is transferred to the DOG. When submitting your abstract, you expressly agree to this transfer of copyright.

Duration of Talks in Free Paper Sessions

The time period for free papers is seven minutes, plus two additional minutes for discussion. Videos are scheduled with ten minutes, plus two minutes for discussion. We kindly ask you to strictly adhere to this schedule. The chairs have been asked to cut short all presentations exceeding this limit. Exceeding of speaking time will be indicated by optical signals.

Poster Exhibition

The posters will be arranged into groups according to their themes. Each poster will be presented in the exhibition for one day. Please hang your poster at the poster exhibition
during 7:00-8:00 on the day of your session. The authors are supposed to take down their own posters during 17:30-18:30 on the same day. All posters which have not been taken off
by 18:30 will be removed and disposed of by the congress staff. In case an author of “Posters of the Day” is unable to recollect the poster at the end of the congress, it will be removed by the congress staff and sent back to the author by mail.

Please provide your poster in the following size:
width: 90 cm, height: 120 cm (upright format). On site you will find appropriate material for adherence as well as personal support.

Poster Sessions

The Poster Sessions will take place from Thursday to Saturday immediately after the lunch break and without competition from other simultaneous events. Each author will outline his or her findings in the context of a three-minute presentation. The subsequent discussion will be facilitated by two moderators. The primary author must be present at the Poster
Session during which his or her poster is discussed. For this purpose, the authors must join their respective poster groups at the announced time. Posters can be presented in German or English.

To enjoy an undisturbed poster session, we are offering headsets with receivers. The poster presentation of the respective author will be transmitted via radio frequency. At several
stations in the poster foyer the necessary equipment will be handed out free of charge by our staff. Please arrive in good time prior to the start of the Poster Session in the Foyer Estrel. The equipment must be returned to our staff at the end of the Poster Session to the designated stations.

Poster of the Day and Poster Awards

Every day the poster moderators will choose the “Posters of the Day”. All selected posters of the day will be relocated to a dedicated exhibition. Unlike all other posters, the “Posters of the Day” will be shown during the entire congress. Every day a jury will select the three most extraordinary posters from the day’s best posters which will be awarded the EUR 300 DOG poster prize.

Compulsory Attendance
The primary authors of posters and lectures are obliged to attend the corresponding sessions. In exceptional cases the first author may be substituted by one of his/her co-authors. In this case the DOG office has to be notified accordingly. If an author does not hang his or her poster without having received permission not to hang it, or if an author does not attend his or her poster session without having received permission to be absent from it, or if the author fails to attend his or her lecture and/or if he or she fails to comply with another important obligation within the context of the scientific program without having received corresponding permission, the DOG reserves the right to not accept submissions from this person for the next congress.

Publication of Scientific Contributions
The DOG holds the copyright of accepted scientific contributions. Authors of free papers in English language are therefore obliged to submit their manuscripts for review no later than 31.1.2016 to the editor of “Graefe’s Archive for Clinical and Experimental Ophthalmology“. Authors may make an informal request to the Recording Secretary of the DOG to publish their presentation in another scientific journal. Authors are merely required to name the contribution and the journal in which it is to appear.

DOG on Demand

DOG on Demand enables congress participants to follow the scientific program online during and after the congress. Videos, posters as well as the scientific sessions, including the presented slides and the voice of the speakers are recorded and may be accessed online. To include lectures into DOG on Demand, the preliminary consent of the author is required. You may consent to present your lecture or parts of your lecture in DOG on Demand, when submitting the abstract (Grant of Rights for DOG on Demand).
We thank all speakers who agree to include their presentations into DOG on Demand.

Call for Videos

Dates and Terms:
Deadline for the submission of videos: Monday, 1.4.2019, 12:00 noon (CEST).

Video presentations are an important and effective medium for the presentation of scientific findings. They are therefore allocated by topic to the open presentation sessions. It is planned to publish the videos on the DOG’s web-site. The video must not last more than 10 minutes.

The presentation time for videos is 10 minutes plus 2 minutes for discussion. The size of the video should be between 100 MB and 1 GB and may be in AVI, MPG, MPG4, MOV, and WMV formats. By submitting the videos the Authors expressly state that they hold all the necessary rights needed for the anticipated use and ex-ploitation of the video and its content, and that the video they submit therefore contains no content, the public access to which or performance of which could infringe third party rights (e.g. the personal rights of persons who can be seen, copyright or music on which GEMA fees must be paid etc.). The Author will indemnify the DOG against all third party claims which may be asserted against the DOG by reason of the use and publication of his/her video.

A brief abstract and the video itself must be submitted to abstractserver.de/dog2019/absmgm/.

The video jury will award the DOG Video Prize to the best three videos; this prize is spon-sored by STREIT DEUTSCHLAND GmbH. The prizes will be presented during the Awards Ceremony to be held on the Saturday of the Congress.
